George Watson’s College wishes to appoint an Administration Assistant within the Senior School to provide a professional, accurate and timely administration support service to 10 HODs to ensure the smooth operation of a range of learning and operational activities across the relevant academic departments.

Main Responsibilities

Administration Support

Working closely with Heads of Departments (HODs) and teaching staff to be instrumental in the smooth operation of activities across departments. Providing accurate and timely administrative and clerical support to aid teachers with preparation of classwork and assist with the organisation and maintenance of classrooms and staff work bases.

This will include some creative work, ordering stationery and other materials, a variety of computer work, making travel and accommodation arrangements, filing and photocopying duties and occasionally contacting students via email. Along with maintaining and updating departmental filing systems, uploading resources to departmental computer programmes.

Order resources for Learning and Teaching on behalf of HODs.

Reprographic Support

Liaising with HODs and teachers as to when reprographic work is required, making certain that the work is delivered to them in time for class.

Administration Support for DofE and Student Graduation

Working closely with Outdoor Learning Professionals and staff involved with Graduation of Students. Ensuring all administration is completed by the due date to enable a smooth hand over of materials to all concerned.

Administration Support for Trips

To make foreign travel and accommodation arrangements for student trips and ensure all student travel documentation is valid.

Co-ordinate and make arrangements for other internal and external subject events such as industry visits, field trips and class trips, accompanying when required.

Ordering of Departmental Supplies

Order stationery and jotters from various suppliers for senior school departments ensuring the best price and maintain records for auditors.

Display Administration

Maintain displays around the school and in classrooms - as per HOD’s/Teachers’ instructions. Get display boards in corridors ready for Open morning.

Curriculum Support Administrative Support

As required; to include letters and digest entries, administration of set lists, planning for displaced classes

The Ideal Candidate

Essential:

  • Demonstrable and varied administrative experience.
  • Knowledge and use of technology that includes a good level of familiarity and proficiency in the use of the internet, databases, word processing, spreadsheet packages and email, ideally gained within the working environment.
  • Excellent oral and written communication skills
  • Good interpersonal and listening skills
  • Good numeracy
  • Good planning and organisation skills, is able to multitask and prioritise effectively to meet deadlines and demonstrates flexibility to achieve deadlines
  • Demonstrates good concentration, high attention to detail and accuracy especially when dealing with routine tasks such as repetitive work or data entry
  • Works on own confidently and unassisted, demonstrating high levels of motivation and good use of initiative and common sense to achieve tasks competently
  • Visually and manually creative
  • Demonstrates high levels of flexibility, adapting to the work of many departments and their preferred methods and styles of work
  • Copes well with pressure and is resilient
  • Is computer literate and picks up new technical skills and IT packages quickly
  • Is an intermediate or advanced user of MS Excel or Google spreadsheets, MS Word or Pages for Macs

Desirable:

  • Administrative experience gained within an educational setting
  • Has experience of using a Mac and or PC
  • Has an interest in issues associated with the 10 departments associated with the job
  • An ability to work closely with colleagues, maintaining a professional and flexible attitude.

Package Description

Location: George Watson’s College, Edinburgh

Contract Type: Permanent, 36.25 hours per week, term time plus two weeks during school holiday periods (Part time working may also be considered)

Salary: £25,785 - £28,775 (Based on 36.25 hours per week, 52 weeks per year) This equates to £22,809 - £25,454 (Based on 46 weeks per year)
