Role Overview & Responsibilities

Fixed term contract of 15 months

We are seeking an Apprentice Office Assistant for the Medium Secure Unit at the Trevor Gibbens Unit, Maidstone. This is an opportunity to join a friendly admin team in an interesting role. In view of the nature of the work you should be 18 years or above at the time of commencing the role.

Duties may include:
  • Sort and open post
  • Receive and direct visitors
  • Obtain information from patient records
  • Answer, screen and transfer telephone calls
  • Photocopying and scanning of documents
  • Keep accurate records
  • Maintain and order stationery
  • Assist Administration Manager, where necessary
  • Undertake any other tasks/duties as may be reasonably required.
You will receive full training and support whilst working towards the Customer Service Level 2 Apprenticeship.

The successful applicant will have a basic knowledge of MS Office applications, i.e. Word, Outlook, Excel and Powerpoint. Level 2 (or equivalent) mathematics and English would be an advantage.

The postholder would be required to work 37.5 hours per week, this will include all training and support.

You will need to be a team player, with good communication and interpersonal skills, be keen to learn and most importantly reliable. Also required is a flexible approach to your work and a professional attitude.

It would be desirable, although not essential, that you have a customer service/admin background and good typing and organisational skills, as you will be part of a busy admin team that provides full secretarial and administrative support to a multi-disciplinary team.
